Survey of Federal Employees Underscores that E-Mail is a Critical Tool for
'Getting the Job Done' and that E-Mail is an 'Official Record'
MCLEAN, Va., April 11 /PRNewswire/ -- ZyLAB, an innovative developer of
content management and compliance solutions for paper intensive organizations,
today announced findings from its e-mail management survey taken at the FOSE
show. Asked exclusively to attendees with government organizations, including
representatives from the FBI, DISA, EPA, IRS, and The World Bank, the survey
findings reveal that, although government employees heavily rely on e-mail as
their primary way of communication and for getting their jobs done, many
employees still don't adequately back-up or effectively manage their e-mails.
The survey offered up a number of interesting findings, including:
* While 100 percent of the respondents believe that e-mails should be
considered "official records," 44 percent claimed to have trouble
locating e-mails -- even though they are considered records
* Government agencies are starting to put policies in place regarding e-
mail. 65 percent of those surveyed noted that they do have an e-mail
policy in place, and 59 percent said that they have implemented a
specific e-mail solution to help manage the growing number of e-mail
received on a daily basis
* Although policies around e-mail are starting to be implemented, only 54
percent of respondents back up their e-mail on a daily basis while 24
percent never back up their e-mail
* 65 percent of the respondents claim to receive 50+ e-mails on a daily
basis, 24 percent receive 26-49 e-mails daily and 11 percent receive 25
or less e-mails daily
* The age-old question of "Will there ever be a paperless office?" was
asked ... 100 percent of the people surveyed said "no"
* And finally, 58 percent said "yes" that e-mail will replace paper
communication; Many noted that e-mail and paper will work side-by-side
"I think what this survey shows is that government organizations are
making great strides in getting their arms around managing the vast amount of
e-mail that is circulated on a daily basis," said Dr. Johannes Scholtes,
President of ZyLAB North America. "All agencies need to have an e-mail policy
in place -- 65 percent is certainly a step in the right direction. One area
that needs vast improvement, however, is in the ability for people to easily
locate e-mails from today or five years ago -- especially when everyone agrees
that e-mails are official records."
The company plans to issue this survey on an annual basis at the FOSE
show.
