Blending Work-Process, Document And Records Management Tools,
DOCS Open Earns DoD Design Certification For Product
Parings With Provenance's ForeMost And USI's e.POWER
TORONTO, CANADA, Nov. 16 /PRNewswire/ - PC DOCS/Fulcrum, subsidiaries of
PC DOCS Group International Inc. (NASDAQ: DOCSF, TSE: DXX) and the global
leader in document and knowledge management solutions, announced today an
agreement with Provenance Systems Inc. to resell ForeMost(TM) for DOCS
Open(R).
The product pairing - which offers government agencies and regulated
industry an integrated life-cycle document management system from creation to
final disposition of documents - is one of two integrations involving DOCS
Open that have now met strict U.S. Department of Defense certification
standards and are available to federal, state and local government agencies.
Provenance's ForeMost was the first Records Management Application (RMA)
product certified against the Defense Department electronic records management
software applications design criteria standard 5015.2. DoD certification was
also given to DOCS Open's three-way integration, together with ForeMost,
within the e.POWER work-process management software from Universal Systems
Inc. (USI) - the only integrated document/records/work-process management
suite to meet Defense Information Systems Agency (DISA) certification.
``Federal customers have been asking for applications providing broad but
tightly controlled document functionality,''says Martha Turner, vice president
of federal operations at PC DOCS/Fulcrum. ``As the maker of the most widely
deployed document management software in the government market, we've worked
closely with Provenance and USI to ensure our solutions work together
seamlessly to deliver the functionality that such customers require. These
powerful integrations, now part of this important new standard, ensure a
unified approach to maintaining, controlling and disposing of key government
documents.''
The DOCS Open/ForeMost integration lets users declare a document a
``formal'' record, wherein ForeMost asserts records management control over
it. DOCS Open provides physical document storage, document production and
access control. ForeMost handles formal records management procedures,
including document destruction or archiving at the end of the document's
lifecycle. A unique document classification process assigns the user
organization's approved corporate retention decision to the document. The
Records Manager can destroy documents in the DOCS Open library according to
the retention schedule and manage existing paper records according to the same
rules as electronic versions. PC DOCS/Fulcrum will resell ForeMost seamlessly
integrated with DOCS Open.
e.POWER is a component architecture providing an environment for
aggregating information sources and legacy applications within the context of
a work process, so that records can be automatically classified and
controlled. With a classification process that considers document content and
profile, e.POWER also provides an automatic declaration process that assigns a
document to the records manager at a user-specified time. It also provides a
seamless user interface to capture e-mail and declare it as an official record
under the control of the integrated PC DOCS/Fulcrum and Provenance tools. USI
offers the DOCS Open and ForeMost integration as part of e.POWER. Current PC
DOCS/Fulcrum or ForeMost users can easily add the benefits of work management
by upgrading to e.POWER.
``Our joint solution with PC DOCS/Fulcrum is ideal for organizations that
must meet the 5015.2 standard,'' says Mark Hogan, acting director of sales and
marketing at Provenance Systems. ``Meantime, by weaving ForeMost and DOCS
Open into the e.POWER architecture, USI marries records management and e.POWER
work process management in a way that can be hugely beneficial to both
government and civilian enterprise work processes alike.''
Robert E. LaRose, USI president and CEO: ``We consider PC DOCS and
Provenance important partners in that the aggregation of our products provides
a powerful integrated digital environment for enterprise solutions. Many of
our customers want the business efficiencies and flexibility made possible
only by the convergence of these three companies' tools.''
The 5015.2 standard, in effect since December 1997, identifies 127
mandatory baseline functional requirements for records management application
software to be used by the Department of Defense. It is based on National
Archives and Records Administration (NARA) regulations and other legislative
and policy obligations for record keeping. Certification ensures that
products meet or exceed the rigorous requirements for records accountability
within the federal, state, and local government market.
